Business Development Coordinator

Rose Law Firm is a boutique law firm in beautiful Lake Oswego that offers big-firm quality with small-firm customer service.  Our firm offers a wide range of services both as transactional lawyers and as litigators within the practice areas of business transitions and succession planning, corporate, real estate, executive compensation, tax, and estate planning.

The Rose Law Firm seeks to engage a dynamic and motivated administrative professional to support continued business growth by assisting with implementation and coordination of business development and client relationship initiatives.  The successful candidate for this position will bring a strong work ethic to a wide range of responsibilities by providing marketing, business development, and client services assistance while working collaboratively with a wide range of people, and taking the lead on various strategies, plans, initiatives, and projects.

 

Over of the Position:

The Business Development Coordinator is responsible for the entire “lifecycle” of the client with the Rose Law Firm.  This position will work with other team members to develop proposals for prospective clients, be responsible for the organization and timeline of the client file, and manage the communication between the client, Firm attorneys, and outside consultants.  Additionally, as a business consultant, this position will assist with creating specific project plans for each client file to help the client meet their objectives and foster a long-term relationship with the Rose Law Firm.

Responsibilities:

Business Development:

  • Assist in cultivating and developing new client prospects and expanding relationships with existing clients

  • Attend new client and prospective client meetings and help manage the client transition from intake to the ongoing relationship with the Firm

  • Assist in managing relationships with, referrals from, and referrals to other professionals

  • Measure, track, and manage metrics associated with the success of client prospecting, client conversion, and client retention activities

  • Utilize CRM and other technology tools to directly target potential clients

  • Coordinate with other staff and attorneys on managing the client intake process

  • Coordinate client workflow planning for attorneys

 

Client Relationship:

  • Maintain the accuracy of physical and electronic client files

  • Update the client and RLF team on file status and ensure an efficient client workflow

  • Draft correspondence and business or legal documents under attorney supervision

  • Develop and maintain procedures and systems for tracking client engagements through initial contact to disengagement

  • Responsible for meeting client deadlines

 

Business Consulting:

  • Assist with the creation of projects plans specific to the client in regard to the client’s objectives, timeline, priorities, and concerns. 

  • Develop internal project plan to assign Firm team members to specific tasks

  • Review current firm policies and procedures for areas of improvement and ways to alleviate bottlenecks or other

  • potential issues

Qualifications:

  • Bachelor’s or Master’s degree – preferably in Business, Finance, Legal Studies

  • Experience with project management and/or process design and development

  • Proficient in Windows OS, MSOffice, and comfort with learning new case management, billing, document management, and other software

  • Excellent written and oral communication skills, including grammar and spelling

  • Consistently demonstrates ownership mentality by taking complete personal responsibility for assigned areas/projects/tasks

  • Strong collaborative team player with demonstrated ability to influence and work effectively with global teams at all levels

  • Self-motivated with the ability to work independently, use time efficiently, solve problems, and take initiative

  • Work well under pressure with strong attention to detail

  • Strong client-relationship skills, including in-person, telephone, and written communication with prospective clients, clients, and other relevant third parties (e.g., without limitation, clients’ other professional advisors, such as CPAs)

  • Excellent organizational habits with the ability to multi-task and balance a wide range of different responsibilities and meet deadlines

  • An ability to use judgment, tact, and discretion in a law office environment especially in regard to protecting confidential information
